Before you begin: Note that permissions to your access profile may be required to perform the following steps. We invite you to validate your access with your software administrator.

Once a planning template is created and available, it can be used in all matters.

  • Legal matters (Civil, Family, Criminal, etc.)

  • Client type matters

  • Supplier type matters

  • Employee type matters

Please note - Depending on the matter selected, it is possible that the recipients configured in the planning template will not be displayed because they do not exist in the type of matter targeted. For example, in an employee matter, there is no notion of Client or Client manager.

It is possible to select a planning template and use it from several places in the software.

Add a planning by

1 - Activities tab of the general menu - Press + in the right-hand menu bar in

  • Activities view

  • Planification view

  • Compare availabilities view

2 - Activities tab of the matter - Press + in the right menu bar in

  • Activities view

  • Planification view

  • Compare availabilities view

3 - Summary tab of the matter - Through the activities icon in the right-hand menu bar

Once the planning template has been selected, the user is taken to the interface of the planning being created. All the elements configured in the template are set up according to the targeted matter.

The reference date for the planning must now be defined.

It is responsible for proposing dates for activities within the suggested timeframe.

What to know

Important information about the planning reference date and the behaviour of the suggested delays.

In order to calculate the delay correctly, the logic of the planning template used must be visualised.

  • Does the template work with a target start date from which the stages of the timetable will be defined as we move forward in time?

    • The suggested delays for the activities in the timetable are therefore entered in positive

  • Is it more of a backward-facing template? So, that the reference date of the planning is a target date and the steps of the schedule must have been completed before that date?

    • The suggested delays for the activities in the timetable are therefore entered in negative

When confirming the planning reference date, the delays are automatically updated and the proposed dates are related to the chosen open days calendar.

When a date targets a day that is excluded from the calendar, it is framed in orange-yellow requiring action.

The user always has the final choice to select the date proposed by the suggested delay or to use the next available date (always according to the calendar).

A confirmation message to confirm the choice is displayed at registration.

It is therefore possible to accept the planning as it is or to confirm with the function icon to change the proposed date in order to respect the chosen calendar. The next working date will then be proposed.

In the proposed example, the date of the proposed deadline falls on 25 December 2020 = public holiday. Depending on the calendar chosen = Non-legal days, this date requires confirmation to be used. The user can keep the 25 December as proposed or activate the icon to select the next working day according to the calendar = here 28 December 2020.

Please note

  • As a result of the change, the number of days in the Agreed delay field is also updated, but the Suggested delay field does not change.

What to know

  • If the reference date of the planning is changed during the planning process, ALL activities will be affected by a change of date, regardless of the status of each activity (New, In progress, Completed, Etc).

Icon: Change the agreed delay and date of the activities in the planning according to the defined open days calendar

  1. If the icon is activated in the activity, only this activity is affected by the date change.

  2. If the user uses the icon in the header instead, all the dates of the activities concerned will be changed at the same time.

  • It is possible to add activity(ies) to the planning being created even if it was initiated by a planning template.

    • New activity added manually

    • Add activities from an existing planning template

  • It is possible to add reminder(s) (linked activities) to the planning activities

    • New activity added manually

    • Add an existing activity
