Understanding the planning interface

The visual of the planning is very user-friendly and easy to understand.

The schedule is composed of activities, each of which has its own configuration in the schedule. We can therefore say that each activity represents a "section" of the schedule when it is configured. Subsequently, when using the planning in a matter, the activities represent each of the steps to be followed.


1 - The planning title

The title of the planning is its identification for use. This information is also found in the header of the activities linked to the planning in the form of a clickable link when the user consults them in order to have quick access.

2 - The person responsible for planning

This involves defining the employee in charge of the schedule.

In a planning template, it can be configured according to its role.

  • Matter responsible

  • Assistant matter responsible

    • ERD colleague with the title Assistant

  • Client responsible

  • Assistant client responsible

    • ERC colleague with the title Assistant

  • Current employee

In a one-time planning, the person is selected directly from the list of employees.

Thus, in the dedicated 360 windows and reports, the responsible person will be filterable / displayable.


3 - Signed planning

When the box is checked, the planning header becomes non-editable for all users (except for the employee responsible for the planning).

The aim is to protect the Title, the reference date (once the planning has been used and saved in a matter), the Person responsible and the selected Calendar.


4 - Open days calendar

The behaviour of the planning changes according to the selected open days calendar.

  • Public holidays in Quebec

    • Saturday and Sunday are days identified as requiring approval for use

    • Quebec holidays are days identified as to be approved for use

  • Non-legal days

    • Saturday and Sunday are days identified as requiring approval for use

    • Quebec holidays are days identified as to be approved for use

    • Good Friday, Boxing Day and New Year's Day are days identified as requiring approval for use

  • Civic Days

    • There are no exceptions - every day is considered usable without permission


5 - Activity section

It is possible to create as many activities as needed without any limitation in the planning.

The function to add an activity is located under the last created activity.

Two choices are available (when the user edits a one-off planning template):

A - Create a new activity manually

B - Integrate activities from an existing planning into current planning.

When creating a planning template only option A is possible


6 - Recipients

Selection of the applicable default for the planning template in the choices.

  • Current user

    • When using the planning on the matter, the user's name is automatically assigned to the activity

  • Intervenor

    • A 2nd field allows the selection of the target role to define the recipient of the activity

      • Client

      • Accused

      • Defendant

      • Employee responsible for the matter

      • Employee responsible for the client

      • Etc.

  • Specific actor

    • A 2nd field allows the selection of the targeted role to define the recipient of the activity in the list of people in the database (Magnifying glass)

  • Matter responsible colleague

    • A 2nd field allows the selection of the targeted role of the colleague to define the recipient of the activity

      • Assistant

      • Paralegal

      • Accountant

      • Etc.

  • Client responsible colleague

    • A 2nd field allows the selection of the targeted role of the colleague to define the recipient of the activity

      • Assistant

      • Paralegal

      • Accountant

      • Etc.


7 - Linked activities

A linked activity is not an actual step in the timeline, but rather a reminder preceding an upcoming step.

For example, the timeline provides for a meeting with the client to discuss the case in 7 days. In order to be well prepared and to make sure to have all the relevant documents on hand for the meeting, the user can add a related activity to the planning 2 days before the meeting to verify and validate.

There is no limit to the number of activities linked to an activity.

Note

In this example, since the reminder is 2 days BEFORE the activity, the delay has been entered in negative in order to precede it (-2). If the delay value is positive, the reminder will be presented 2 days AFTER the activity date.
