Document locking

What is the purpose of locking a document? How do you lock or unlock a document?

Before you begin: Please note that permissions to your access profile may be required to perform the following steps. We invite you to validate your access with your software administrator.


The "Lock a document" function prevents other users from editing an existing document.

Document locking sets the document to read-only mode. This means that the document can be downloaded, but it cannot be replaced.

This function allows you, amongst other things, to:

  • To secure a document whilst making changes

  • To restrict access to certain documents

Only the person who has locked the document can replace it. Anyone else attempting to overwrite the document will receive the following error message:

The document lock will remain in place until it is unlocked by the user who locked it, a system administrator, or someone with this option in their access profile:

Lock a document

Step 1: In the Documents tab, click once on the document you want to lock.

Step 2: Hover over the download icon in the upper-right corner and select "Download and lock".

Result: The document is locked.

  • A green, closed padlock will appear in the Locked column.

  • When the document is selected, a new section in the preview displays the person who locked the document, along with the date and time it was locked.

Error message during locking

If you try to lock a document that is already locked by someone else, this error message will appear: "The file cannot be locked"

A document can be locked by only one person at a time.


Unlock a document that you have locked

Step 1: On the Documents tab, click once on a locked document.

A locked document that you have locked is indicated by a closed green padlock in the "Locked" column.

Step 2: Click on the Unlock button.

Result: The document is now unlocked.


Unlock a document that has been locked by another user

Step 1: In the Documents tab, click once on a locked document.

A document that has been locked by another user is indicated by a closed red padlock in the "Locked" column.

Step 2: Click on the Unlock button.

Step 3: You will see one of the following two messages, depending on your access rights.

  • Message displayed when you do not have the necessary permissions to unlock documents locked by other users:

You will need to ask the person who locked the document, a system administrator or someone with the necessary access rights to unlock it.

  • Message displayed when you have the necessary access rights to unlock all documents:

Click on "Unlock" to unlock the document.

Click on "Do not unlock" to keep the document locked.
