How do you make a person record confidential?

By default, in JurisEvolution, all persons created have a public status. The confidential status of a person must therefore be manually activated in the person's record by a user. The confidentiality of a person can be activated/deactivated at any time.

A user with editing access to persons can activate the confidentiality of a person. To remove the confidentiality of a person, the user must be authorized to see it.


Step 1: When creating your person or, if he is already in your database, from his person record, go to the "Authorized persons" section.

Step 2: Click on "Add" to authorize persons to see the confidential person.

Or, in case one or a few persons should not see the confidential person, check the box "Manage by excluding persons". The section will then be named "Unauthorized persons". Click on "Add" to restrict access to certain persons.

Step 3: Save the changes with the green check mark.


Note that:

  • All types of person can be confidential.

  • If a person is confidential and the user does not have access to it, under no circumstances can he/she access the person record.

    • In the window 360 the confidential person will be non-existent.

    • In the matter where the user has access, he will see the confidential person but will never be able to access the person's record - Only the name is visible.

  • Within a person (confidential or not) it is also possible to manage the confidentiality of that person's identification numbers and their linked documents.


Understand the impact of activating a person's privacy

Merger of persons

  • It is not possible to merge a confidential person with a person if the latter is chosen as the merge reference. On the other hand, if the confidential person is chosen as reference, the merge is allowed.

Confidentiality has no impact on conflict of interest

  • All persons are synchronized to the conflict of interest.

A permission exists to overcome the privacy limitations.

  • A user with this permission in their access profile sees all people without restriction.

  • A user with the System Administrator profile also sees all persons without restriction.


Confidential person option for the file

From the "Admin" tab, in the "System classifications management" tile

If the box "Warn when adding a non-confidential person" is checked for a type of matter, a warning message will be displayed so that the user can be notified and thus validate that this is the desired action.

This is a reminder to make sure that no mistakes are made when adding persons to the matter.
