How do I delete permanently closed matters?

Before you start: Please note that this action is irreversible and that permissions to your access profile may be required to proceed with the following steps. We invite you to validate your access with your software administrator.


General information

  • The matter number of a permanently deleted matter can be reused.

  • The matter must meet the following conditions to be deleted:

    • The matter must be closed.

    • The matter must not contain any external mandates, even if the mandates are closed the permanent deletion is not allowed. The mandates must be detached from the matter to be deleted or deleted beforehand.

    • The matter must not have any submatters, even if the submatters are permanently deleted, permanent deletion of the general matter is not allowed. Submatters must be deleted from the general matter.

    • The matter must not contain any previous instances.

    • JurisZone shares of the subject matter must be deleted first.

  • The conflict of interest search keeps a record of the deleted matter to allow the professional the discretion to judge whether or not a conflict exists.

Step 1

Admin Tab > Permanently Delete Records

Access to the "Admin tab" must be given in the user profile as well as permission to delete records for all types must be given in order to access the "Permanently Delete Records" tile.

Step 2

The list of matters closed more than 7 years ago is displayed on the screen.

This date can be modified in the filter pane of the window.

  • A matter must be closed in order to appear in the list of matters available for permanent deletion.

Step 3

  • Select the matters to be deleted.

  • Click on the trash can icon.

  • Confirm the deletion once.

  • Confirm the deletion a second time by typing DELETE in the warning message shown below.

Notes: The deletion is final and irreversible. It is impossible to recover a matter, its documents or activities after confirming the final deletion. Financial transactions and statistical data are retained, but anonymized to ensure the integrity of reports requiring this information.

Step 4

The deletion request is submitted.

Confirmation of the deletion will be provided under the Request List tab. This is also where a record of the deletion will be kept.

Here we see who requested the deletion and when. No data about the deleted matters is available in this window.

Depending on the size of the permanently deleted matters, it may take more or less time for the deletion to be completed. A progress bar in the list of requests displays the progress of the request while it is being processed.

Notes: It is not possible to cancel a request while it is being processed.

Impact of the final deletion of matters.

  • Conflict of interest:

    • A deleted record may still appear in the conflict of interest to ensure diligence in the search. The matter number is changed in this case, but the description and client name remain.

    • A deleted column in the conflict of interest search result indicates whether or not the matter is deleted to avoid a search on the matter.

  • People involved (client and other stakeholders):

    • Stakeholders in a matter are not deleted, as they may be involved in other matters.

    • They are detached from the matter, no trace of their involvement in the matter is visible, except for the conflict of interest.

    • If they are not involved in other active matters, it is possible to delete them via the "Persons tab'".

  • Accounting:

    • The accounting entries remain. No confidential information, including the matter number, is visible.

  • Financial and statistical reports:

    • All the financial and statistical data of the deleted matters is transferred to an anonymized file that accumulates the data and displays it in the windows and reports.

    • This data is displayed as shown below in the various reports.
